Duplicate records are one of the most common Salesforce data-quality problems: two records for the same account, a contact entered twice, a lead that is already a contact. They split activity history and quietly distort every report. Here is how to prevent, find, and merge them.
Prevent new duplicates: duplicate rules
Salesforce has built-in duplicate management, two pieces working together:
- Matching rules define what counts as a duplicate (for example, same email, or a fuzzy match on company name).
- Duplicate rules decide what happens when someone creates a match: alert (warn but allow) or block (prevent the save).
Turn these on for Accounts, Contacts, and Leads first. Standard matching rules cover the common cases; you can tune them to your data.
Find the duplicates you already have
Prevention does not help the backlog. To find existing duplicates:
- Duplicate record sets: when a duplicate rule runs, it can log matches you can review.
- Reports: group by a likely-unique field (email, or company plus postcode) and look for counts greater than one.
- A dedupe tool: for large orgs, a dedicated tool scans and groups duplicates at scale.
Merge them
- In the UI, Salesforce merges up to three records at a time: you pick the master and choose which field values to keep.
- For anything beyond a handful, you want a bulk approach, either a dedupe tool or a careful, previewed bulk update.
Whatever the method, review before you merge: a merge is hard to undo, and you want to keep the right values and the combined activity history.
Keep on top of it
- Leave duplicate rules on so new ones get caught.
- Add a monthly duplicate report to your data-quality review.
- Standardise the fields your matching rules depend on, so matches are reliable (see how to clean up Salesforce data).
Upcells surfaces duplicates and other data-quality issues as part of its Manage features, with the same preview-before-apply safety as every other change. See pricing.
Frequently asked questions
Does Salesforce have built-in duplicate management? Yes. Matching rules plus duplicate rules let you alert on or block duplicates for Accounts, Contacts, and Leads.
How many records can Salesforce merge at once? Up to three at a time in the standard UI. Larger volumes need a dedupe tool or a bulk process.
How do I find duplicates that already exist in Salesforce? Use duplicate record sets, a report grouped by a unique field, or a dedupe tool that scans and groups matches.
